Room Reservation Policy

  • LC rooms are available only to instructors who need them to use audio, video or computer equipment.
  • Reservations are taken on a first-come, first-served basis.
  • Plan your class and reserve rooms early!

Types of Reservations

The Language Center encourages instructors to reserve classrooms, equipment and media ahead of time to ensure availability and leave time for adjustments to the class schedule if necessary.

Different policies apply to these reservations, depending on how far in advance they are being made.

For Fall semester July 15th October 1st 2 days in advance or less
For Spring semester November 15th February 1st 2 days in advance or less
For Summer term April 15th June 1st 2 days in advance or less

Advance Reservations

  • These reservations always require a reservation form.
  • Each class is allowed to reserve up to 15 hours in Jones Hall classrooms.
  • Teachers of intensive courses may negotiate their needs.
  • Reservations of other equipment and media are unlimited in terms of amount and frequency (within reason).
  • Instructors must intend to use the technology they are reserving.

Open Reservations

  • These reservations always require a reservation form.
  • Instructors can reserve beyond the 15-hour limit, but reasonable limits are still imposed.
  • Reservations of other equipment and media are unlimited in terms of amount and frequency (within reason).
  • Instructors must intend to use the technology they are reserving.

Last Minute Reservations

  • These reservations do NOT require a form and can be made over the phone.

Reservation Preferences

Because our mission is to support language and culture instruction, instructors teaching theses courses receive scheduling priority.

1. Language and Culture Instructors:

Can make all three types of reservations for rooms, carts, media, and equipment.

2. Other CLA Instructors:

Can NOT make Limited Advance reservations for rooms and carts, and can only make Open Advance reservations 2 weeks in advance. Can make all three types of reservations for media and equipment.

3. Other instructors (Non-CLA):

Can NOT make Limited Advance or Open Advance reservations for rooms and carts, and may only make Last Minute reservations. Can make all three types of reservations for media and equipment.

4. Students:

Students may reserve a small room when the technology in the room is required to complete their assignments, but they may not reserve classrooms. They may also reserve media and equpiment to use in Jones Hall only. Restrictions on the frequency or duration of reservations may apply.
